A quick self-assessment for IT leaders, facility managers, and operations teams

Outdated audio-visual systems can disrupt meetings and negatively impact guest or user experiences. But until a system outright fails, many organizations don’t realize that recurring issues are often early signs that key components, or the system as a whole, are nearing the end of their expected lifecycle.

Use the questions below to get clarity on your AV system’s health. If you answer “Yes” to any of them, it may be time to explore an upgrade.

Question 1: Does your AV system regularly cause delays or disruptions?

If you often find that your meetings get rolling late because you have to resolve technical issues first, you’re probably a “yes.” Likewise, if your staff or volunteers have to “work around” known problems with the system, you qualify.

A “yes” means you can’t fully rely on your AV system to work when you need it to.

Question 2: Is your system difficult for everyday users to operate without help?

You can tell an AV system is not user-friendly when employees, volunteers, or staff avoid using it and/or IT often has to get involved.

A “yes” means your system has an outdated, unintuitive UX and poor design.

Question 3: Does your AV system struggle to support modern collaboration or streaming needs?

You should be able to use your preferred platform/setup without issues, whether Teams, Zoom, or hybrid meetings. If remote participants experience poor audio or video quality, your system could be struggling.

A “yes” means your system isn’t built to hold up to today’s collaboration requirements.

Question 4: Is your equipment nearing or past its expected lifespan?

Most of your core components can be expected to last roughly seven to 10 years. Beyond this point, manufacturer support tends to become limited and identical replacements hard to source.

A “yes” means you may be approaching a system breakdown for which there may not be an easy fix.

The way your system is now, would it be prohibitively expensive or complex to add rooms to its reach? Or more displays or features to its current footprint? Does it already have trouble integrating with your IT/network infrastructure?

A “yes” means there’s little flexibility or scalability in your current system.

Question 6: Does your AV system detract from the experience of people in the room?

This often registers in the form of complaints–or even interruptions–from participants letting you know they can’t hear the audio, or see what’s on the display because it’s too dim, too small, or poorly placed.

A “yes” means your AV performance could be taking away from your presentation instead of enhancing it.

Question 7: Are you relying on temporary fixes instead of long-term solutions?

We’re talking frequent resets, using lots of adapters, maze-like workarounds, etc. In short, if you’ve ever said, “It usually works if we do this…”

A “yes” means you’re incurring what’s called technical debt–the cost of additional work caused by using a patchwork system rather than turning to an effective solution.
